For most of us now equals online meetings and that includes Zoom Screen Sharing. While the main advantage has been the ability to see each other with videos; coming a close second is being able to share information on screen.
Do you find that it can be a bit hit or miss?
Well, let me share 3 (not so) secret top tips to help make this easier.
Share a whiteboard
There are always times that you want to share a presentation, or show something. Zoom includes a whiteboard option for all meetings that allows you to do that. You can chose to get people involved or show an idea, process or brainstorm visually.
In a Zoom meeting, click the Share Screen button as normal.
When you look through the available options – the second one is actually Whiteboard.
Now you have a blank whiteboard that you can use the annotation toolbar to draw/write on the screen.
Share a specific window or application
There’s nothing wrong with using screen sharing in zoom to share the whole desktop. Often that makes more sense, especially if you’re moving between a lot of screens, files or programs.
But there are times that sharing the one ‘thing’ (slides, document, spreadsheet, etc.) is a better solution.
This way you can still have programs open (e.g. email) but no one else can see it – especially if you accidentally select it.
Tip #1: Open the program and the file(s) that you want to share either before the meeting starts, or just before you are going to start sharing.
Click on the share Screen button as normal.
Look at the bottom row of options. They are all the programs that you have opened.
Click the one that you want to share.
During the meeting, if you click on a program that you’re not sharing, no one else will be able to see it.
Tip #2: If you need to share another program, click Share Screen again, and select the next program to share.
Start Screen Sharing in Zoom
I know, this sounds exactly the same as the other two options but the big difference is you can start sharing before you start the meeting!
How is this useful? Simple it lets you share your screen (desktop, tablet or phone) within the meeting.
You’ll need the Meeting ID number and the passcode for the meeting to join and immediately start sharing.
Desktop App
Start Zoom desktop program, simply click on Share Screen.
You’ll see the Share screen button in the Zoom app for both tablets and phones.
