Why This Outlook Feature Matters
One of the brilliant aspects of Microsoft Outlook is how seamlessly its different sections work together. Whether you’re using the classic version or the new Outlook, this integration remains the same, allowing you to transform emails into calendar appointments with just a simple drag-and-drop action.
This feature is particularly valuable for busy professionals who receive many emails requiring follow-up meetings, appointments, or reminders. Instead of manually creating calendar events and copying information across, you can streamline this process significantly.
This is the one option that I use a lot. However, in Classic Outlook it was just one of them.
Sadly, in New Outlook, we don’t appear to have any of the others. Clicking and dragging to any other section displays an ‘no entry’ symbol.
Step-by-Step: Converting Emails to Calendar Events
The process couldn’t be simpler. Here’s exactly how I do it:
1. Locate Your Email Find the email message you want to convert into a calendar event. This could be anything from a meeting request to an appointment confirmation or even a reminder email.
Note: These examples are standard emails. When you receive a meeting invite, accepting will automatically add it to your calendar.
2. Drag and Drop Simply left-click on the email and drag it over to the calendar icon in your Outlook navigation pane (on the left). When you release the mouse button, Outlook immediately creates a new calendar event.

3. Automatic Information Transfer Here’s where the magic happens – Outlook automatically pulls in all the relevant details from your email:
- The email subject becomes the event title
- The original email content appears in the event notes
- Email addresses are automatically added as attendees
Meeting vs Appointment: Understanding the Difference
When you drag an email to your calendar, Outlook assumes you’re creating a meeting because it detects email addresses. This means it’s ready to send meeting invitations to the participants.

However, you have full control over this:
For Meetings:
- Simply adjust the date and time (Outlook initially selects the next available slot for today)
- Outlook will show you whether you’re free or busy at the selected time
- Send the meeting invitation to all participants
For Personal Appointments:
- Remove the email addresses by clicking the ‘X’ next to each one
- Notice how the ‘Send’ button changes to ‘Save’ – this means it won’t send invitations
- The event will be saved as a personal appointment in your calendar
