MS To Do Tips – The Best Tips and Tricks

You’ve got Microsoft To Do and you’ve added a few tasks, maybe a list, but what are the To Do Tips that will really make a difference to your productivity?

Choose your platform

Microsoft To Do is available in a variety of programs across a range of platforms. Your tasks can be available anywhere you need it (and some you don’t). Keeping you on track as it’s synchronised everywhere.

  • Web browsers (Chrome, Edge, Safari, Firefox – any current browser)
  • Windows App Store
  • Mac App Store
  • Android Play Store
  • Apple App Store
  • MS Teams App

Use all of them or a mix that works for you.

(Psst, of all the MS To Do Tips, this is my fav – I reach for the mobile app on my phone all the time.)

Add Sub Tasks/Steps

For each task that you add, you can add steps or sub-tasks in.

Create larger tasks, then break them down into manageable steps, keeping a track as you go.

To Do Tips - add the steps it takes to complete the task.
Add Next Step
  1. Create the new task
  2. Click to select the task and open the detail pane
  3. Next step is at the top
  4. Select ‘Next step’ and type in the first option
  5. Repeat for each additional step

Repeating Tasks

To Do Tips - repeat tasks that happen regularly.
Set Tasks to Repeat

There’s things that need to be completed on a regular basis – posting on social media, paying bills, and many others.

Sure you can create a new task each time – or you can set one task to repeat.

  • Create a new task (as normal)
  • Click to select the task and display the detail pane
  • Select Repeat
  • Choose when it needs to repeat or customised to set a pattern

The first date is added to the task. As you mark it complete, To Do will automatically create a duplicate with the next date in the repeat sequence.

Add Hashtags

We seem to use hashtags quite a bit all over the place, so why not add them to your To Do list as well?

Type them in, as part of the task name/details.

Search tips - add hashtags into the task

But what use is it? I’m glad you asked.

Now, use the search to look for the tag.

You can use multiple hashtags (if you want), and they can be in any task and any list in Microsoft To Do.

Send a Copy

Note: Yes, there’s a print option, but I’m keeping things digital 😊.

There might be a time that you want to send your tasks to someone else…

Display the tasks or list that you want to send.

Note: This option isn’t available through the web browser (I couldn’t see it when I checked, using MS Edge).

Look for the three dots (ellipses) in the top right corner, and tap (or click) on them to display the options menu.

On mobile (phone or tablet) – select Send a Copy, and then select how you want to share (email, messenger, messages etc). Choose who you want to receive it and then send.

On the desktop app (confirmed for Windows) – select Email List. Complete the email and send as normal.

Windows App Shortcut Keys

  • Ctrl + N: Add a new task in the To Do app.
  • Ctrl + L: Create a new list.
  • Ctrl + T: Add a task to My Day.
  • Ctrl + D: Mark a task as completed.
  • Ctrl + F: Search anything within To Do.
  • Ctrl + R: Allows you to sync To Do.
  • Ctrl + V: Paste from the clipboard.
  • Ctrl + 1: Allows you to open the sidebar menu.

      Yes, it is off-topic, but I’ll answer you.
      No, a blog doesn’t have to cost ‘a pretty penny’. In fact there are a number of websites that allow you to host a free blog. In return they will include advertising to pay for it.
      Have a look at wordpress.com, Wix, Blogger or Medium – to name just a few.
