Something that I’ve noticed is that many people aren’t making the most of PowerPoint’s built-in features. One of the most underutilised yet powerful tools is PowerPoint slide layouts feature. In this guide, I’ll show you why using slide layouts can transform how you create your presentations,make your slides more professional and save you time.
Understanding PowerPoint Slide Layouts
Let’s start at the beginning – what are slide layouts?
Not just in PowerPoint but all presentation apps, they are the pre-set slide ‘templates’ that determine how content is organised on your slides. These aren’t just simple aesthetic choices—they’re powerful tools that can save you time and ensure consistency throughout your presentation.
In other words, they are the boxes/fields that you see when you create slides. The boxes are positioned on the slide to give you the white space around the content. The presentation formatting – font, size and colour – are already applied.
You just need to add the content.
How to Use Slide Layouts Effectively
When creating a new slide, many users simply click the New Slide button and accept whatever layout appears. However, there’s a better way. Instead of clicking the picture icon, click the text below the icon, that says “New Slide”. This opens a gallery of layout options, allowing you to choose the perfect arrangement for your content.
For example, if you need only a title slide, you can select that specific layout rather than deleting unwanted elements from a different layout. The system automatically sets up the proper font sizes and positioning, saving you valuable time on formatting.

The Hidden Benefits of Using Slide Layouts
There are several compelling reasons to use PowerPoint’s built-in layouts:
1. Easy Layout Changes
One of the most powerful features is the ability to change layouts without losing your content. Let’s say you’ve created a slide with a simple content layout, but then realise you need a comparison slide instead. Rather than starting over, you can simply change the layout, and PowerPoint will automatically reorganise your content to fit the new format.
And if you choose a layout that doesn’t include content already on the slide, you won’t lose that content. It remains in place as a text box.
2. Title Management
Using slide titles properly is crucial for presentation management. When you use the built-in title boxes in layouts, PowerPoint creates a navigable structure. As you hover over slides in the slide sorter, you can see these titles, making it much easier to navigate during your presentation.
During the slide show, if you need to move to a slide, the titles will be displayed making it easy to find the slide to move to.
3. Consistent Formatting
The preset layouts ensure consistent formatting throughout your presentation, maintaining professional standards without extra effort. Font sizes, spacing, and positioning are all automatically handled.
If you need to update the formatting, changing the presentation format (design or template) will automatically apply those changes across all the slide layouts.
Plus, you can still change formatting on individual slides if you want.
Making the Most of Your Presentations
I always recommend using slide layouts whenever possible. While there may be occasions where you need a completely custom layout, the built-in options usually provide everything you need for a professional presentation. The time you save on formatting can be better spent refining your content and practising your delivery.
Remember, the goal of any presentation is to share information with your audience. By using PowerPoint’s slide layouts, you’re ensuring that your message is presented in a visually clear, consistent, and professional manner.
